GameHound is a bot and web dashboard that announces free games in Fluxer communities. This policy explains what data we collect, why, and what you can do about it. We collect as little as possible and never sell it.

What the bot collects in your server

• Server (guild) data: the guild ID, name and icon, plus the settings you choose in the dashboard (announcement channel, role to mention, theme, language, currency, filters, command prefix).
• Announcement records: which freebie was posted to which guild, the resulting message ID and whether it succeeded — so we never post the same game twice.
• Messages: the bot receives messages in channels it can see only to detect its own commands (such as !hunt). Message content is never stored. For the !hunt browser we keep, in memory only and for at most 10 minutes, who asked for it so only they can navigate it.
• Store icons: if an admin installs them, the IDs of the emojis the bot created in that guild.
• Link clicks: “Get it” links pass through gamehound.xyz so we can count how often each freebie is opened. We only keep a number per freebie and day. No IP address, cookie or account is recorded.

What the dashboard collects when you log in

• Your Fluxer account: user ID, username and avatar, received through “Login with Fluxer” (OAuth2 scopes identify and guilds). We do not request your email.
• Access tokens: the OAuth tokens Fluxer gives us, stored encrypted (AES-256-GCM). They are used only to list the guilds you can manage, so you can configure them.
• Your guild list is fetched live from Fluxer when you open the dashboard and is not stored, except for guilds where the bot is present.
• Cookies: a session cookie (the server keeps only a hash of it; expires after 30 days), a short-lived cookie that secures the login flow, and a cookie remembering whether you use the normal or Canary Fluxer client. No advertising or tracking cookies, no analytics.

Nest (self-hosted) subscribers

If you connect your own Fluxer instance, we store its address and the bot token and OAuth client secret you provide — encrypted — to run the bot on your instance. We also keep your plan, its dates and any notes about how it was granted or paid. When payments are introduced, payment details will be handled by the payment provider; we will not store card numbers.

Why we process this data

Only to provide the service you asked for: posting announcements where you configured them, letting you manage your guilds, and running paid plans. The legal basis is performing the service you requested (and, for billing records, legal obligations).

Who we share it with

• Fluxer (and your own instance, if self-hosted) — the bot talks to them to read commands and post messages.
• Cloudflare — our website is served through Cloudflare, which processes connection data (such as IP addresses) to deliver and protect it.
• Sentry — when something breaks, a technical error report (what failed and where) is sent to Sentry so we can fix it. We configure it to leave out user details, cookies and request headers.
• Google Drive — daily database backups are copied there, encrypted before they leave our server, and deleted after 14 days.
• Game data comes from public sources (Epic Games Store, Steam, GamerPower, IsThereAnyDeal, exchange rates from the ECB). We send them no personal data.

We never sell or rent data, and we do not use it for advertising.

How long we keep it

• Sessions: until you log out or 30 days pass.
• Guild settings: while the bot is in the guild. When it is removed, the guild is marked inactive.
• Account and tokens: until you delete your account (on the account page) or ask us to.
• Announcement records: 6 months, then deleted automatically.
• Backups: 14 days, then deleted automatically.
• Billing records: as long as required by law.

Your rights

You can ask for a copy of your data, correct it, or have it deleted — including your account, linked identities and any guild settings you control. Removing the bot from your guild stops all processing for that guild. You can delete your account and its data yourself on the account page. For anything else, email us at support@gamehound.xyz or ask in our official Fluxer guild. If you are in the EU/EEA you also have the right to complain to your data protection authority.

Children

GameHound is not directed at children under the minimum age required by Fluxer’s own terms.

Changes
